HALLOWEEN FEST CARNIVAL FOOD VENDOR APPLICATION

Tuesday, October 27, 2026 | 4:00 PM – 8:00 PM

Registration Deadline: Friday, October 16, 2026

Applications will be reviewed and screened to avoid duplication. Applicants will be notified of their application status via email. If approved, a payment link for the vendor fee will be emailed to complete the registration process.

Setup & Booth Requirements

  • Food Vendor check-in and setup times will be assigned. All booths must be fully set up and ready for customers by 4:00 PM.
  • Food Vendors may unload in the upper parking lot off Lanikaula Entrance. Parking will be in the vacant lot next door to the YMCA. 
  • Food Vendor may setup one (1) pop-up tent (10’–13′) and one promotional banner identifying their business, organization, or team.
  • Food Vendor is responsible for providing menu & pricing information.
  • Food Vendor must provide their own tents, tables, chairs, battery-operated lighting.
  • Food Vendor is responsible for removing all trash and belongings from YMCA property following the event.
  • Food vendors may accept their preferred payment methods, including cash, credit/debit cards, and digital payment options (e.g., Venmo, Cash App, Apple Pay, or other mobile payment services).
  • YMCA carnival tickets DO NOT APPLY for Food Vendors booths.

Food Truck Requirements

  • Food Truck check in and setup times will be assigned. All trucks must be fully set up and ready for customers by 4:00 PM
  • Non-Food Truck Vehicle(s) will park in the vacant lot next door to the YMCA.
  • Food Truck Vendor must provide their own lighting and power supply.
  • Food Truck Vendor is responsible for providing menu & pricing information.
  • Food Truck Vendor may accept their preferred payment methods, including cash, credit/debit cards, and digital payment options (e.g., Venmo, Cash App, Apple Pay, or other mobile payment services).
  • YMCA carnival tickets DO NOT APPLY for Food Truck Vendors.

Event Conduct

All Vendors are expected to conduct themselves in a professional and respectful manner throughout the event.

This is a family-friendly event. The following are strictly prohibited on YMCA property during the event:

  • Smoking
  • Vaping
  • Alcohol
  • Illegal drugs or controlled substances
  • Unruly behavior

Anyone found in violation of these policies will be asked to leave the premises immediately.

Please provide a detailed description of the food you plan to sell. List all menu items, including entrées, sides, desserts, and snacks.
Examples:
● Meals: chicken katsu plate, chili & rice, gravy burger, roast pork plate
● Desserts: brownies, cookies, cupcakes, mini pancakes, mochi
Important Notice: Food items will be screened to avoid duplication. Applications are accepted on a first-come, first-served basis. Changes made after the application has been submitted must be approved by YMCA.
